What's New in Office 2021?
If you're upgrading from the 2019 version, here’s a list of the main new features. Keep in mind that these will be new only if you're coming from a previous perpetual license version. Microsoft 365 subscribers have seen these features gradually added over the past two years.
Excel now includes formulas that instantly return an array of values, a function that assigns names to calculation results so you can use these names in a formula, a function that returns the relative position of an item in a range of cells, and customizable views for individual sheets.
PowerPoint allows you to replay animations where you apply handwritten ink to a slide and adds a feature that lets you create a link to a specific slide and send that link to a colleague, with an option to allow them to edit it.
Outlook gets quick translations, faster searches, handwritten ink input, and more.
For the first time, Office comes with Microsoft Teams, which is Microsoft's answer to Slack.
None of these new features are revolutionary. If you're already running 2016 or 2019 and don't really need these new enhancements for 2021, you won't need to spend money on the new version. However, if you're setting up a new computer and don't have a current Office license, you won't regret starting with version 2021. If you're upgrading from a previous version, keep in mind that Microsoft, unlike many other vendors, does not offer discounted upgrades. You pay the same amount whether you're just starting to use Office or have been using it since last century.
What's New in Microsoft Word 2021

Microsoft Word 2021 introduces some new features not available in Word 2019. Note that we will discuss both Windows and Mac throughout this article. We start with Windows in all our sections, followed by Mac.
On Windows, one of the first new features in Word 2021 is the ability to enjoy a new set of media storage options. Microsoft claims it is adding more rich media content and a better-organized library of stored images and icons. Essentially, you'll have more ways to make your documents look beautiful!
Also new is the ability to use Microsoft Search. This is a new tool that can help you find text, get online instructions, use commands, and more. It's located at the top of the screen.
Summarizing the new features in Word 2021 includes an updated Draw tab, support for OpenDocument format, and a Sketched style template. The new drawing tools allow you to quickly access and change the color of all ink drawing tools, all in one place. At the same time, the new Sketched style template gives a casual hand-drawn look to shapes in your presentation.

For Word 2021 on Mac, you should notice a significant visual update, with clearer tabs and monochrome icons. Some other new features include advanced page color support in the immersive reader, natural-sounding voices for reading aloud, and the ability to save images and charts in .SVG file format. Note that the new stock media and search button from Windows are also being rolled out to Mac.
What's New in Microsoft Excel 2021
Microsoft Excel 2021 is one of the applications that receives the most new features. On Windows, there are many new functions for data analysis, including Dynamic Arrays, XLOOKUP, and LET functions. However, these services are provided for enterprise users. For everyone else, the highlights of the new features will be performance improvements, new stock media, an updated Draw tab, the new Microsoft Search button, and support for OpenDocument format.
With XLOOKUP, you can find anything you want in a table or range. Using the LET function, you can assign names to calculation results to store calculations or intermediate values or define names within a formula. Microsoft describes other new Excel features below:
Dynamic Arrays: Write a single formula that returns an array of values.
XMATCH function: Searches for a specific item in an array or range of cells and returns the relative position of the item.
New input field in the color dialog for hex color values.
New workbook statistics function.
In Excel 2021 for Mac, you can expect all the same features mentioned above, plus the addition of a new 'Watch Window' option. Microsoft says this window should make it easier to inspect, audit, or confirm formula calculations and results in large worksheets.
What's New in Microsoft PowerPoint 2021
When it comes to Microsoft PowerPoint 2021, many new features are designed to help you enhance your presentations as well as your slideshows. We start with PowerPoint for Windows.
One of the biggest features in PowerPoint 2021 is the improved Record Slide Show feature, which now supports recording the presenter’s video and laser pointer. You can also expect a new ability to replay ink strokes, the ability to find what you need in Microsoft Search, and new ways to arrange items on slides for screen readers.
Other features from Excel and Word are also present here. This includes the Sketched style template, new colors, an updated Draw tab, OpenDocument format support, and new stock media.
In Microsoft PowerPoint 2021 for Mac, meanwhile, you can enjoy a significant visual update, which Microsoft says is a 'clean, modern style.' Other new features include the ability to create an animated GIF from a slideshow and save images and graphics in SVG format, along with the Sketched style template.
What's New in Microsoft Outlook 2021
Outlook is one of the most used Microsoft Office applications, and it only gets a small set of features focused on discovery and translation. On Windows, the new instant search feature allows you to find emails anywhere when you're in Outlook.
Meanwhile, the new translation features allow you to translate emails in over 70 languages via a sidebar. Of course, there are also ink features, allowing you to annotate email images or draw on a separate canvas using your finger, pen, or mouse. Other features include more stock media and a new input field in the color dialog for hex color values.
In Microsoft Outlook 2021 for Mac, you get a visual update, along with the ability to save your images and charts in SVG format.
Features of Office 2021
As you might expect, the latest version of the Microsoft Office suite comes with a range of new features, fully detailed here.
In addition to performance improvements across the board, notable features include support for OpenDocument format (ODF) 1.3, new Excel functions, a new presentation recording feature for PowerPoint, and an updated translation function for Outlook.
At the top of all Office applications, users will also find a new smart search box designed to help display documents, commands, and specific parts of text more easily.
Finally, all applications received a visual update that aligns the user interface with Microsoft’s new operating system, Windows 11. This means rounded corners, a new color palette, and an updated ribbon interface.
Office 2021 vs. Microsoft 365: What's the Difference?
The main difference between Office 2021 and Microsoft 365 is how customers pay for the services.
Microsoft 365 follows a software-as-a-service (SaaS) business model, where customers pay regular subscription fees to access Word, Excel, PowerPoint, Outlook, and more. Meanwhile, Office 2021 customers pay a one-time upfront fee for a lifetime license.
Office 2021 may be cheaper in the long run, and the applications still benefit from the same types of online collaboration features as their Microsoft 365 counterparts.
However, the downside of choosing Office 2021 over Microsoft 365 is that the feature set will only be updated for a limited time (i.e., until the next version is released), while Microsoft 365 users will always enjoy the latest updates and features.
Furthermore, for businesses that prefer to shift spending from CapEx to OpEx, Microsoft 365 is the clear choice.
